Job description

In general accounting practice, a senior accountant starts a reporting cycle by reviewing the available records. These may include supplier invoices, customer statements, bank movements, and earlier closing adjustments. Before posting entries, the accountant checks dates, amounts, and supporting documents against the correct accounting period. In construction, a transaction may also need a project reference to explain its purpose. However, the project label alone does not prove the correct accounting treatment. The accountant checks what the cost relates to and whether the evidence supports that treatment. This creates a clear starting point for later ledger review rather than carrying unclear entries forward.

The listing also ledger review connects individual transactions to the balances used in financial reports. The general ledger holds the main accounting records for each account. A senior accountant normally compares account movements with supporting schedules, which explain the balance in detail. If a movement looks unusual, the next step is to trace its origin. That means reading the underlying entry, checking the account code, and understanding the business reason. Corrections need a clear explanation and the appropriate review before posting. After correction, the accountant checks both sides of the entry again. Otherwise, fixing one account could leave another account wrong or remove a useful record of the change.

Checks and exception handling

Reconciliations then test whether separate records explain the same balance. For bank accounts, the accountant compares the statement with the cash ledger. For supplier and customer balances, the comparison may involve statements, invoices, payments, and credit notes. A difference needs a reason, not simply a balancing entry. Some differences reflect timing, while others point to missing or duplicate records. The accountant separates these causes and records what remains unresolved. When another person holds the evidence, the request should identify the exact transaction and missing detail. This helps the accounts team resolve the issue without repeatedly searching through the full balance.

A common construction accounting question arises when work finishes before the supplier invoice arrives. For example, a subcontractor may complete work near month-end while the invoice remains outstanding. The senior accountant would first seek evidence of completion and the amount involved. Depending on the accounting policy and available evidence, an accrual may be appropriate. An accrual records a cost before the invoice arrives. However, the accountant should not guess the amount from an unsupported request. The project contact can confirm the work, while the finance reviewer checks the proposed treatment. When the invoice later arrives, the accountant matches it against the earlier entry to avoid counting the cost twice.

Coordination and completion

Once the main balances make sense, month-end work turns to the financial reports. The accountant checks that report totals agree with the final ledger balances. Comparisons with earlier periods help identify changes that need an explanation. However, a large change does not automatically mean an error. The accountant must distinguish a genuine business movement from a posting problem. Report comments should explain the cause using figures and evidence, rather than broad statements. If an important question remains open, the reviewer needs to know its possible effect. Clear review notes help decision-makers understand which figures need further attention before final approval.

After reporting, a sound close leaves a record that another accountant can follow. Supporting schedules should show the period, balance, source documents, and reasons for adjustments. Any open item needs an owner and a clear next action. This prevents the same question from returning without progress in the next reporting cycle. Also, later changes need a record of what changed and why. At senior level, reviewing the quality of this evidence matters as much as completing entries. The accountant can identify repeated gaps and discuss practical improvements with the finance team. As a result, later reviews can follow the figures without rebuilding the full history.

Typical Duties & Responsibilities

  • Review payable ageing to flag overdue supplier balances and separate payment queries from invoices ready for review.
  • Track customer balances by due date so collection discussions focus on the correct outstanding invoices.
  • Check supplier credit notes against the related invoices to confirm that returns or price changes reduce balances correctly.
  • Maintain fixed asset schedules showing additions and disposals, with supporting records for changes in asset balances.
  • Review advance payments to identify amounts that still need supporting invoices or allocation to the correct period.
  • Check recurring journal calculations against their supporting schedules so repeated entries do not carry forward old errors.
  • Prepare requested accounting records for audit queries, keeping each response linked to the relevant account and period.
  • Monitor unresolved accounting queries and follow up with the responsible person until the records support a clear resolution.

Candidate Profile

Applicants can prepare a truthful example of improving a customer ageing report. Explain what was unclear, how you checked the invoice history, and what the corrected report showed. If you use figures, remove client names and confidential details. Also, distinguish work you completed yourself from work you only reviewed or supported. This is preparation advice, not an additional selection condition. Before accepting an offer, ask about reporting responsibilities, the accounting system, and the approval process. Clarify the employment arrangement and working hours directly with the employer.
